Woo Hoo!! You've decided to host a Cocoa Experience with The Cocoa Exchange! This is going to be SO much fun! You've picked a date and now you are wondering, "What do I do now?" Well, all the answers are right here, so read on and get ready to PARTY!!
It's my goal to make this a simple and pleasurable experience for you and your guests. I'm going to do all the heavy lifting, but there are a couple tasks I need you to do in order for this to be a successful party (and so you get tons of free chocolate!).
1. First, and most important, is making the guest list. You want to invite 30 to 40 people to your Cocoa Experience. I know that may seem like a lot. You are probably thinking "Thirty people won't fit in my house!", but in my experience only about one third of the people you invite will actually attend. That means that when you invite 30-40 people, only 10-12 will actually show up. If you only invite 10 people, then only 3 will actually show up! So, don't be afraid to over-invite! You may be thinking, "I don't have 30 friends." That's ok! I don't either! Ha Ha! But you probably know more people than you think. Try to list 5 people in each of the following areas:
Contacts through groups, church, etc.
Contacts through your Spouse
Contacts through your Kids
See, you know more people than you thought! And I bet most of them love chocolate!
Now that you have a list together, we want to get out those invitations. Research tells us that people are most likely to attend an event that they have received multiple invitations for. It's just too easy to overlook one invitation in this busy world. Luckily, The Cocoa Exchange makes invitations easy with "Margo"! Our invitation system, Margo, will send Email, Text, and Postcard invitations to your guests. It's all automatic! Just enter whatever information you know about your guest (phone, email, etc). If you don't know their address, Margo will quickly search the web for possible matches. Still not sure about the address? No problem! We can just send a text or email invitation! But I do recommend you include addresses when possible, because Margo sends beautiful, full color, glossy 5x7 invitations. And who doesn't like getting fun mail?! You should have already received an email from me with a link to Margo, where you can enter your guests' information. If not, let me know and I'll get that right to you. Margo will do the rest! She even sends out reminders as we get closer to the event date!
If you would like to send invitations with Facebook, we can do that as well. I strongly encourage you to use the Margo invitation system, as it results in much better attendance which means more fun and more freebies!! Let me know, and I will be happy to set up a Facebook event for you. I will post yummy pictures leading up to your event, but never more than once a day, as we don't want to overwhelm your friends.
2. Your most important job is done, but there are still things you can do to help make this a successful party. As friends start to RSVP to the event, you want to reach out to them.
If they are coming, then encourage them to bring a friend! The more, the merrier! Plus, I'll give them a Sweet Treat for bringing a friend!
If they cannot come to the party, ask if they would like to place an order or host their own Cocoa Experience. Your friends will thank you for trying to include them even though they could not attend in person. I cannot tell you how many times people have thought they had to miss out because they could not make the party! They are thrilled when I offer for them to host their own party! Often, they feel bad that they cannot attend and want to place an order to support YOU! Your host rewards (aka. chocolate freebies) are determined by your party sales and bookings. You can collect these orders, send them to the website, or let me know and I'll place the order for them. Plus, when you collect $100 in pre-party orders, you get an extra gift!!
3. Party Tips:
About a week before the party date, you will get to choose a Menu of items to sample at your Cocoa Experience. I will send you a short grocery list of items to have for the event. I recommend that you have water or another beverage available for your guests. Chocolate can be rich! However, I ask that you do not serve any other foods before or during my presentation. Trust me, there will be plenty of food! If you would like to serve other snacks, please wait until after my presentation. This is for a couple reasons: 1. I don't want other foods to alter the taste of our products. but mostly 2. because we want to leave your guests wanting more. When they are looking at the order form, do we want them thinking, "Uh, I'm stuffed! I can't even look at food." or do we want them thinking "Oh, that was SO good! I could eat that again!" Right! Just like when you go to the grocery store before dinner, you end up buying more. Which means more free products for YOU!
We want to have the party in an area where most people can sit down and where they can all see my presentation. I do not need a table or anywhere for a display. However, I do like to have a small table or space in another room, where I can take people's orders away from the party. Nobody wants their financial information out in front of the world.
4. Finally, I want you to enjoy yourself! Have Fun! This is a party after all, so laugh, talk, eat! I'll serve your guests. You just sit back and enjoy!
